You HAVE TO Use Your Real Estate CRM Out In The Field

We’ve been developing a Real Estate CRM Platform on the Salesforce.com cloud for nearly 10 years now. In this time, the one thing that always amazes me is how little importance Realtors® seem to put on the need to be able to access (and use) their CRM when they are out in the field. Let’s face it, if you are a Realtor®, you aren’t making money if you are stuck at your desk, in the office. Because of this simple fact, if you are subscribing to a Real Estate CRM system that does not give you the capability to actively use it out in the field, you are doing yourself a giant disservice.

So with that in mind, today I want to share two reasons you should be using your Real Estate CRM out in the field.

You May Be Smart, But NOBODY Can Remember Everything

For me personally, this was the most difficult one I had to learn. Basically it’s because I think I’m invincible. And being invincible, how could my mind possibly be weak and allow me to forget things? Yes, I know. Given the hundreds of people I talk to ever day, and the dozens of projects I’m working on at any given time (much as you are), it is clearly impossible to remember everything. That is where the power of a solid, mobile ready CRM really will start making your life easier.

Take our CRM for instance (yes, even though I’m not a Real Estate Agent, we actually use the platform ourselves). My favorite “ease of use” functionality is calling a client when I’m out in the field.

To call Jeff, all I have to do is tap on his phone number that is right under his name on the contact screen. Then, for even more ease of use, as soon as I hang up the phone call, a log a call screen automatically appears, right on the screen, for me to document what we discussed, ensuring nothing slips through the cracks.

So as you can see, the system is easy to use in the field, it thinks for me, popping a “log a call” window, before I get distracted and go off in a different direction, and I will always have detailed notes on what is going on with every deal or project I am working on, on a day to day basis.

Why Call Someone For An Update On A Transaction, When You Can Just Look It Up?

Again, the whole idea behind a CRM is that it’s supposed to save you time. If you are out running all day long, dealing with listing issues, and going on listing appointments, it is understandable that at times, you might feel out of the loop on what is going on with your transactions. It is also understandable that your clients are going to want regular updates, and they frankly don’t care what else you have going on at that moment. They are worried about the sale of their home, or purchase of a new home, and they want answers ASAP. I can’t tell you how much time can be wasted, having to call your assistant or escrow coordinator to look up the status of a deal. This is where transaction management tools come in.

A good Real Estate CRM doesn’t just keep track of your client’s and lead’s phone and email addresses and conversations you’ve had with them, it will also help you track and manage your transactions, as they are in progress, again ensuring you are a well oiled machine and nothing is slipping through the cracks, ever.

Not all CRM’s have a way to manage transactions. Our system, in fact did not have a truly solid, unbreakable transaction management platform built into it until our most recent CRM release. That’s all changed though, and based on subscriber input, it’s an invaluable tool that helps our clients not only ensure nothing slips through the cracks, but also look much more proficient, in the eyes of their customers.

For instance, let’s say your client calls you and wants to know the status of the inspections that are happening for their listing. The traditional way to handle this would be to call your assistant, or TA. Many times you will probably have to leave them a voicemail and wait for them to call you back. That means your client is stuck waiting. If though, all that detailed information is instantly syncing in your CRM, AND you have the ability to easily access that info through your smart phone, you can quickly call your client back with the information they want, making yourself look like a Real Estate Rock Star.

There are lots of Real Estate CRM systems out there with lots of different features. The take home message here though is that you need to have a platform that you are comfortable with, willing to use, able to use frequently and easily out in the field, and that tracks not just lead nurturing, but the actual business of doing Real Estate.
